1About this policy

Nova Paw Festival is organised by Nabni Contracting and Services, a company registered in the State of Qatar. This policy explains how we handle your personal data when you buy a pass, enter a competition, apply to exhibit, subscribe to our newsletter, or simply browse this site.

We follow Qatar’s Law No. 13 of 2016 on the Protection of Personal Data Privacy, together with the guidance issued under it by the National Cyber Governance and Assurance Affairs (NCGAA) at the National Cyber Security Agency.

In this policy, “we” and “us” mean the festival organiser, who is the controller of the personal data described below.

Our registered address is Building 54, Street 340, Zone 23, 3rd Floor, Alghanem Business Center, Doha, Qatar (P.O. Box 15423). Please mark data protection enquiries for the attention of our data protection contact, so they reach the right person quickly.

3What we collect

We collect only what we genuinely need, and we tell you why at the moment we ask for it.

• Attendee details: full name, email address, mobile number, and nationality where the pass requires it.
• Children’s details: the number of children attending on a family or child pass, and their names where a guardian provides them.
• Pet details: your pet’s name, breed, age and sex.
• Pet health documents: the pet passport and vaccination record you upload so we can confirm your animal is fit to attend.
• Competition entries: the competition you enter, your pet’s eligibility details, and the results recorded on the day.
• Exhibitor and partner enquiries: your name, company, role, and business contact details.
• Newsletter: the email address you give us, and whether you opened or clicked a message.
• Technical data: your IP address, device and browser type, and the pages you visit on this site.

4Why we use it, and on what basis

Every use below is tied to a specific, legitimate purpose. We do not use your data for anything else without asking you first.

• To sell and issue your passes and admit you on the day — necessary to perform the ticket contract between us.
• To keep the festival safe: verifying pet vaccinations, safeguarding animal welfare, and running site security.
• To run the competitions and record results with the sanctioning bodies, WKU and WCF.
• To answer your enquiries and provide support.
• To send you festival news, where you have given us your express consent.
• To meet legal, regulatory, veterinary and public-safety obligations in Qatar.

5Consent, and how to withdraw it

Where we rely on your consent — most obviously for the newsletter — you give it freely, and you may withdraw it at any time, without giving a reason and at no cost.

Withdrawing consent does not affect anything we did lawfully beforehand. If consent is withdrawn for data we need in order to admit you to the festival, we may no longer be able to honour the booking.

6Children’s data

Under Qatar’s data protection law, personal data relating to children is data of a special nature and receives additional protection. We treat it that way.

We collect children’s data only from a parent or guardian, only in the amount needed to admit the child and keep them safe on site, and never for marketing of any kind.

A parent or guardian may ask us at any time to show, correct or delete the data we hold about their child.

7Data of a special nature

Beyond children’s data, we do not seek information about health, ethnic origin, religious belief, marital relations or criminal records, and you should not send it to us.

Where the law requires the permission of the Competent Department before such data may be processed, we obtain that permission before any processing begins.

8Your pet’s health documents

Pet passports and vaccination records serve one purpose: confirming that an animal is vaccinated and fit to enter the festival.

They are seen only by the staff and veterinary team who carry out that check, and they are deleted once the festival has closed and any related safety matter is settled.

9Your rights

Qatar’s data protection law gives you the following rights over your personal data. We do not charge for exercising any of them.

• To be told what we hold about you, and to receive a copy of it.
• To have inaccurate or incomplete data corrected.
• To ask us to erase your data where no lawful reason remains for us to keep it.
• To withdraw your consent at any time.
• To object to processing that causes you damage, and to object to direct marketing.
• To be told when a breach of your data occurs that may cause you serious harm.

Write to contact@novapawfestival.com to exercise any of these. We will respond within thirty days; if we need longer, or must refuse, we will tell you why.

10Direct marketing and the newsletter

We send festival news only to people who asked for it. Every message identifies us clearly as the sender and carries a one-click unsubscribe.

We act on unsubscribe requests promptly, and we never sell, rent or trade your contact details to anyone for their own marketing.

11Who we share it with

We share personal data only where it is necessary, and only with parties bound to protect it.

• The veterinary team and animal-welfare staff who verify health documents on site.
• WKU and WCF, the bodies that sanction and judge our competitions, for entries and results.
• Our payment provider, which handles your card details directly — we never see or store your full card number.
• The venue operator and licensed security contractors, for access control and site safety.
• IT and email service providers acting on our written instructions and nothing more.
• Government authorities in Qatar, where the law requires us to disclose.

We do not sell your personal data.

12Sending data outside Qatar

Some of our service providers operate outside Qatar. Where your data travels abroad, we take the precautions the law requires and satisfy ourselves that it will receive a comparable level of protection.

We will not transfer your data outside Qatar where doing so would cause you serious harm or would breach the law.

13How long we keep it

We keep personal data only for as long as the purpose it was collected for still exists.

• Pet health documents: deleted after the festival closes and any related safety matter is resolved.
• Ticket and competition records: kept for the period Qatari accounting and event-liability rules require, then deleted.
• Newsletter subscriptions: kept until you unsubscribe.
• Enquiries: kept for up to twelve months after we have answered you.

When a retention period ends, we delete the data or anonymise it so that it can no longer identify you.

14How we protect it

We apply technical, administrative and organisational measures appropriate to the sensitivity of the data: encrypted connections, access restricted on a need-to-know basis, and staff instructed on their duties before they handle any of it.

We review those measures before beginning any new kind of processing. No system is perfect — but we do not treat your data casually.

15If something goes wrong

If a breach occurs that may cause serious damage to your data or your privacy, we will notify the Competent Department and tell you without undue delay, describing what happened and what we are doing about it.

16Cookies and analytics

This site uses the cookies it needs in order to work — remembering your language, and keeping your booking together as you move between pages.

We also count visits ourselves, to understand how the website is used: which pages are opened and for how long, the type of device and browser, the country, and the website or campaign that brought the visit. This relies on a random number kept in your browser, not a cookie, and never on your name, email address or IP address. Only the festival team sees these figures, and you can remove the number at any time by clearing this site's data in your browser.

Any cookie that is not strictly necessary is set only with your agreement, and you can clear or block cookies in your browser at any time.

17Photography and filming at the festival

Nova Paw Festival is a public event that is photographed and filmed. Signs at the entrances tell you so before you come in, and the ticket agreement records your consent.

If you appear in an image and would rather not, write to us and we will remove it from our own channels wherever we reasonably can.

18Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top. Where a change is significant, we will tell subscribers directly.

19Complaints

If you believe we have mishandled your data, tell us first — contact@novapawfestival.com — and we will look into it properly.

You also have the right to complain to the Competent Department for data protection at the National Cyber Governance and Assurance Affairs, National Cyber Security Agency, State of Qatar.
